The Development Operations Manager plays a critical part in the development department to raise and sustain resources and has a leading role in the operational functions of the team in support of the mission of JCRC. Working closely with the Director of Development, the development team, finance, and the Salesforce Administrator, as well as other staff when appropriate, this candidate must have a proactive mindset and thrive in a fast-paced environment to manage the day-to-day administrative requirements of the development department related to donor relations, event operations, and CRM database management. The Development Operations Manager also manages the tracking of the donor giving cycle, alongside the Director of Development, to ensure the JCRC donor base and prospects have the highest quality and effective engagement throughout the year. Experience with database management is required and development-specific knowledge is strongly preferred.

Responsibilities

1 – Operations

Process donations and pledges to JCRC

  • Oversee the gift process including processing checks and mailed-gift information, credit card calls over the phone, and logging all gifts into the Salesforce database.
  • Send acknowledgements, thank-you letters, pledge reminders, honoree/memorial letters, etc. within three days of receipt of gift.

Donor appreciation

  • Manage database donor tracks based on location and mission interests to have targeted communications from the Director of Development throughout the fiscal year.
  • Coordinate and manage the JCRC Donor Circle program, ensuring that donors are acknowledged and managed in the correct circles.
  • Play an active lead in the operational management of the annual Bridge Builder luncheon.
  • In coordination with the Director of Development, manage the donor thank-you phone calls from Board members and staff and track call results in Salesforce.

Donor research and prospect management

  • Three weeks prior to each quarter, research top donors for the upcoming quarter for the Director of Development, CEO, Board Chair, and others to ensure successful engagement and solicitation of our donors.
  • Manage the prospect list for the Director of Development. Includes but is not limited to researching current prospect list.  Update and add names to the prospect list throughout the year through proactive research.
  • Donor and prospect research to grow our existing donor giving along with legacy-giving  strategy development.

Support of development committee

  • Support the functions of the committee including, but not limited to, pulling fiscal year reports of gifts in, donors to cultivate, and prospecting based on committee member notes.
  • Take notes and track next steps during and after committee meetings.

Donor appeal management

  • Twice a year, create a fall and spring appeal list of donors who should receive a solicitation letter (to be reviewed by the development team and CEO).
  • Merge the letter content with solicitation amount and contact information for the appeal letters.
  • Manage the communications between JCRC and print house to build a timeline to get the letters to donors in a timely manner.

2 – CRM management 

  • Manage the development department’s Salesforce data.
  • Create targeted donor segmentation lists for mass communications, fundraising appeals, event invitations and other donor communications as needed.
  • Create strategic reports that assist fundraiser’s donor management, to include quarterly reports and donor-cycle management within Salesforce.
  • Log donor interactions when received from the Director of Development and/or CEO.
  • Update information on existing or new donors/funders in CRM system in a timely manner to ensure JCRC data is accurate and up to date.
  • Assist Salesforce Administrator in continued database clean-up efforts.

3 – Event coordination 

  • Assist in planning, coordinating and implementing all fundraising events, Cell-A-Thon, and donor receptions.
  • Coordinate virtual donor briefings.
  • Work closely with Director of Development, staff members, event lay leaders, and any related contractors, on invitations, RSVPs, payment, logistics, materials for distribution, registration, catering, set up, thank you letters, calendaring, etc.

Required Qualifications:

  • 3+ years of demonstrated experience of database management, Salesforce preferred
  • 3+ years of experience of working in an administrative office
  • Demonstrated experience managing confidential information

Preferred Qualifications:

  • Salesforce management
  • Development and/or foundations experience, University and/or nonprofit preferred
  • Experience with planning donor events including vendor management, direct communications with the host(s), and managing RSVPs
  • Demonstrated experience in donor and prospect research
