The Operations & Program Assistant plays a critical role in ensuring the smooth day-to-day functioning of JCRC Bay Area. This entry-level position supports internal operations, office systems, and organizational logistics that enable staff and leadership to focus on advancing our mission.
This role is ideal for a highly organized early-career professional who brings initiative, attention to detail, and a desire to grow within nonprofit operations.

Key Responsibilities
1) Office Operations Lead – 30%
- Maintain office supply inventory and coordinate ordering
- Maintain kitchen supply inventory, ordering and organization/cleanliness
- Ensure printing and shared office equipment are functioning and properly stocked
- Coordinate with vendors and building management for service and maintenance needs
- Maintain organized and welcoming shared office spaces, including kitchen and conference areas
- Collect and distribute incoming mail, and assist with expense documentation and invoice routing
- Manage inventory of organizational materials and branded swag
- Answer occasional inbound calls/emails, forwarding to other team members as needed
2) Program & Systems Support – 60%
- Coordinate internal meeting logistics (room setup, Zoom support, materials preparation)
- Support CRM data entry and basic database updates
- Support Development and CR teams in execution of ongoing priorities, as directed
- Assist with administrative management of systems including Box, Zoom, Google Workspace, and shared drives
- Provide scheduling and coordination support across teams as needed, including maintaining centralized team calendars (excluding executive and board governance support)
3) Event & Project Support – 10%
- Assist with event logistics, including ordering food, working with vendors, registration tracking and materials preparation, coordination of set up and clean up
- Provide on-site event support as needed
- Support internal staff gatherings and retreats
- Contribute to special projects as needed
Qualifications
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Strong written and verbal communication skills
- Proficiency in Microsoft Office, Google Workspace, and Zoom
- Ability to work independently and collaboratively

- Flexibility to assist with occasional evening or weekend events

Reporting: This position reports to the Chief Operating Officer
Salary: $60,000- $80,000
Location: San Francisco, CA
